Start with the open items.
Begin with the work still waiting on a document, a clarification, or an approval. Keep each item connected to the relevant trip, driver, or piece of equipment.
Give it an owner and a next step. Without those two details, the same item is likely to return to the next review unchanged.
Check three everyday handoffs.
Use the same short set of questions each time. Consistency makes the conversation easier to prepare for and easier to act on.
- Have completed trips reached the invoice-preparation workflow?
- Are the supporting details for driver settlements ready for review?
- Have fleet expenses reached the people organizing the books?
Look for the repeated gap.
A recurring missing document may point to a handoff problem. Ask whether the right person knows when to provide it, where it belongs, and what the receiving team needs.
Improve the process at the source. Adding another reminder is less useful if the responsibility is still unclear.
Finish with decisions people can use.
Close the review with a short action list. Each entry should name the item, the next action, and the owner. Share it where the work will actually happen.
